Sherm Update
New Features Now Available!
Sherm Software is pleased to announce the release of a number of new features and other improvements to your Sherm Software subscription. In addition to our overall site refresh, we are also very please to confirm the following features are now available for your immediate use within each of the Modules.
People Management
Human Resources > Manage Employees
Emergency Contact Details
Within the Emergency Contact Details of the Employee, you can now insert a mobile phone number. Previously only a home phone number was provided for. Either one of these is a mandatory field to ensure that you have details of the person who is required to be notified should the need arise.
Human Resources > Add Other
There may be a time where you need to provide access to your management system. For example, in response to a tender or contract that you are engaged in. Now you can Add Others in the same way as you Add Employees. Less information is required to be obtained here and access to the system is immediate upon saving the data entered. The system will send the notification to the “Other” person you have included. “Others” are included into the subscription package that you have purchased. So when providing access, determine how long this person requires access and be sure to inactive them once they have reviewed the information they require.
Manage Employee > Licences
Notification regarding expiry of licences will go to both the licence holder and their Manager at 4 weeks, 2 weeks and 3 days prior to expiration.
Dashboard Messages
You can now Delete All messages instead of one by one. This will speed up your processes and keep the inbox with only relevant messages.
Risk Management
Hazard and Incident Notification
We have included within the email notification a link to the INCID or HAZID. Therefore, if you are logged into Sherm when the notification email arrives in your mailbox, then when you press on the INCID00023, the system will navigate you to the Manage Incident Listing page. Then all you have to do is go into INCID00023.
If you are not logged into the system and you press the link, you will be directed to the Login Page where you will login then you will be taken to the Manage Incident listing page. So just like Facebook really!
Incident Investigation
The system is designed that whoever an incident is reported to will be responsible for both Inherent Risk Assessment and undertaking the Investigation, or nominating a person to undertake the investigation. Those who have access rights will be able to View the Incident Details at any time and certainly Add Comments in relation to the event.
We have included within the initial reporting of an incident “Immediate Actions Taken”, improved the Print Layout of the Incident that, now includes the Investigation comments and the Root Causes with the Investigators Comments.
Documentation
Resources
Now you can manage your own Resources. The Resource Section within Documentation enables you to store documents and links that are relevant to your business operations. You choose who can Manage (add Resources) and who will view through the People Management > User Management.
Firstly import Categories or simply add your own Categories from Add Categories. Once Categories are added then is it now just a matter of Manage Resources and Publishing them. Configuring your resource section is easy and soon you will have a library of resources for your business.
Documentation
To assist with the Document Review process that enables the documents move from the Document Register into the Approved Documents area, we have now included a rule. The rule is such that those who have been selected to Review a document have 7 days in which to undertake their review and provide their comments. If the Reviewer has not undertaken their review, then an automated comment is logged as: Review not undertaken in the required 7 day timeframe”. Those that have undertaken the review, then their comments will be displayed to the final Approver. This provides for efficiency for the document review process and prevents documents being held up because assigned Reviewers have not completed their review task.
Once the Approver ‘approves’ the document, it will be available within the Approved Documents. If the Approver “rejects” the document, then the Document Owner is responsible for updating the document and changing the status of the document into Pending Review. The review cycle recommences.
Safe Work Method Statements
We have improved the Print Layout to align more so with industry expectations and is certainly easier to read. Safe Work Method Statements can be reassigned should the initial assigned person not be available to undertake this task.
Licences and Certificates of Employees
The system will send notification to both the Licence Holder and the Manager at 4 weeks, 2 weeks and 3 days prior to expiration. This will help ensure required licences are maintained.
Registers
Plant
Now you can assign plant to your employees, search on plant provided to employees and print out a report. This function is useful for the business to know when their plant and equipment has been assigned and to whom. The program enables recording of the returned date and reallocation to the next person. As a business you can assure yourself of the ability to reclaim items of plant as and when required especially for testing,inspecting and maintenance.
Contractors
When obtaining contractor information we have included a function for recording of Certifications and Licences of the Contractor. Demonstrating your process of reviewing and ensuring the relevant Certifications and Licences for the job are in place and current is part of your Due Diligence requirements.
Dashboard
You can now Delete All messages from the Dashboard instead of 1 by 1. A little time saver!
